**Job Title** Office Manager **ABOUT COGNICHIP** - Cognichip is an AI-first company revolutionizing the way semiconductors are designed. - We are the builders of ACI® (Artificial Chip Intelligence) — the world's first physics-informed foundation AI model tailored for chip design. - Backed by a $60M Series A, we are a fast-moving team on a mission to become a generational company in the semiconductor industry. **ABOUT THE ROLE** - We are looking for a friendly, organized, and proactive Part-Time Office Manager to be the heart of our Toronto office. - Working three days per week, you will be the go-to person for everything that keeps our office running smoothly — from day-to-day operations and facilities to supporting our team and welcoming guests. - This is a great opportunity for someone who thrives in a fast-paced, innovative environment and takes pride in creating a positive, well-functioning workplace. **POSITION DETAILS** - Location: Toronto, ON (in-office) - Employment Type: Part-Time / 25 hrs per week - Schedule: 3 days per week (schedule to be agreed upon) **KEY RESPONSIBILITIES** - **Office Operations & Facilities** - Manage the ordering, stocking, and organization of office snacks, drinks, and supplies - Monitor office supply inventory and place replenishment orders as needed - Serve as the primary point of contact for all office-related requests from staff - Liaise with the building manager to report and follow up on repairs and maintenance issues - Oversee office equipment (printers, appliances) and coordinate servicing when required - Manage vendor relationships and process related invoices - Coordinate and manage office move and expansion - **Space & Meeting Management** - Coordinate and manage conference room bookings to ensure meetings run without conflict - Maintain common areas to ensure a clean, organized, and welcoming office environment - Manage access cards and visitor sign-in procedures - **People & Culture Support** - Greet and welcome new employees, visitors, and guests in a warm and professional manner - Support the onboarding experience for new hires, including desk setup and access coordination - Assist in planning and coordinating office events, team lunches, and catering - **Communication & Administration** - Handle incoming and outgoing mail, packages, and courier requests - Maintain shared office resources such as seating charts, floor plans, and shared calendars - Distribute office-wide announcements and communications - Liaise with IT to coordinate basic tech support and equipment needs for the office **WHAT WE'RE LOOKING FOR** - Previous experience in an office management, administrative, or operations role - Excellent organizational skills with strong attention to detail - Friendly, approachable, and professional demeanor - Strong written and verbal communication skills - Ability to manage multiple tasks and prioritize effectively in a fast-paced environment - Proactive problem-solver who takes initiative without being asked - Proficiency with standard office software (Google Workspace or Microsoft 365) **NICE TO HAVE** - Experience coordinating office events or employee engagement activities - Familiarity with building or facilities management processes - Experience working in a tech startup or fast-growth company
