About the Role

We’re looking for a detailoriented, proactive Executive & Finance Assistant to support one senior executive and the executive office. You’ll manage calendars and time, coordinate people/meetings/events, and provide handson support with daytoday accounting and financial operations. This is an excellent role for someone with a finance or legal background who understands financial statements, reports, and filings—and wants meaningful exposure to executive operations.

Location: Redwood City, CA or Palo Alto, CA (onsite)

Key Responsibilities

Executive Support

  • Own calendar and time management for the executive; schedule, confirm, and optimize meetings and work blocks.
  • Coordinate travel, meeting logistics, agendas, materials, and followups; take notes and track action items.
  • Triage and prioritize communications; draft and proofread executive correspondence and presentations.

Finance & Accounting Support

  • Assist with expense tracking, reimbursements, vendor invoices, and purchase orders.
  • Help maintain accurate records and organized digital filing for statements, contracts, and reports.
  • Support monthly/quarterly close tasks (e.g., pulling statements, reconciling transactions, preparing summaries).
  • Assist in preparing or reviewing financial statements, management reports, and relevant filings under guidance from finance/legal.
  • Maintain trackers and light dashboards (cash flow, payables/receivables, budget vs. actuals).

People, Meetings & Events

  • Plan and run internal/external meetings and small events: invitations/RSVPs, agendas, room/event setup, A/V, catering, and dayof coordination.
  • Coordinate crossfunctional participants and followthrough on decisions and tasks.
  • Maintain office readiness (supplies, guest reception, conference room scheduling).

Basic Qualifications

  • Education/Background: Studying or trained in Finance, Accounting, Economics, Business, or Law (B.A./B.S. in progress or completed).
  • Knowledge: Working understanding of financial statements (P&L, Balance Sheet, Cash Flow), reports, and regulatory/organizational filings.
  • Tools: Proficiency with Excel/Google Sheets (lookups, pivot tables), Google Workspace or Microsoft 365; familiarity with QuickBooks, Xero, or similar is a plus.
  • Skills: Exceptional organization, attention to detail, written/verbal communication, and discretion with confidential information.
  • Work Style: Reliable, proactive, and comfortable juggling priorities and deadlines.
  • Availability: 20 hours per week, scheduled within 10 a.m.–6 p.m. on mutually agreed days; able to be onsite.
  • Nice to Have: Event coordination experience; basic data analysis; experience with contracts or compliance in a legal setting.

Success in the First 90 Days

  • Executive calendar and weekly cadence running smoothly with clear priorities and buffers.
  • Consistent, accurate handling of expenses, invoices, and reconciliations; neatly organized financial files.
  • A simple meeting/event “playbook” (templates, checklists, vendor list) that improves speed and consistency.

Compensation & Employment

  • Type: Part-time
  • Compensation: $2,500 / month
  • Growth: Strong performers will be considered for fulltime conversion and long-term employment with expanded responsibility
