Role Overview
We are seeking a versatile and detail-oriented Office Manager to join our growing startup team. This multifaceted role combines facilities management with people operations, making you the backbone of our daily operations and employee experience. You'll be responsible for creating and maintaining an efficient, welcoming workplace while supporting our team's growth through comprehensive HR functions.
Key Responsibilities
Facilities Management
- Coordinate with vendors for office services (cleaning, maintenance, catering)
- Monitor and troubleshoot basic technology issues (internet, printers, conference room equipment)
- Manage office layout and space optimization as the team grows
- Ensure office security protocols are followed
HR & Employee Operations
- Manage employee onboarding and offboarding processes
- Handle immigration paperwork and visa processes (H-1B, TN, O-1, etc.)
- Maintain employee records and ensure compliance with employment laws
- Coordinate benefits enrollment and answer benefits-related questions
- Process payroll changes, promotions, and other HR transactions
- Assist with travel arrangements and expense management
Required Qualifications
- 3+ years of experience in office management
- Strong organizational and multitasking abilities
- Excellent communication and interpersonal skills
- Problem-solving mindset with attention to detail
- Ability to work independently in a fast-paced startup environment
Preferred Qualifications
- Experience in a startup or small business environment
- Proficiency with HR systems (Gusto) and recruiting tools (Gem)
- Familiarity with immigration processes and visa documentation (H-1B, TN, O-1, etc.)
- Knowledge of employment laws and HR compliance requirements
- Event planning or coordination experience
- Vendor management experience
- Project management skills

About Us
Inception is a generative AI startup. Leveraging breakthrough AI research, we are training next-generation large language models (LLMs) powered by diffusion. Unlike existing auto-regressive models, which only output one token at a time, diffusion LLMs can output many tokens in parallel. This means that they are several times faster and can leverage their additional test-time compute to improve quality. They also enable fine-grained control over their outputs to adhere to specific schema and semantic constraints, and they provide a unified paradigm for combining language with other data modalities, including audio, images, and videos.
Our team is led by Stefano Ermon (co-inventor of diffusion models, flash attention, and DPO; faculty at Stanford), Aditya Grover (co-inventor of node2vec and decision transformers; faculty at UCLA), and Volodymyr Kuleshov (prev. co-founder and CTO at Afresh Technologies; faculty at Cornell), and includes engineers from Google Deepmind, Meta AI, Microsoft AI, and OpenAI. We are currently deploying large-scale diffusion LLMs at Fortune 500 companies.
